Requesting a workspace with approvals (end-user)

Automate365 (A365) empowers end-users to self-serve for new workspace provisioning, ensuring quick access to the resources they need. While many requests are provisioned instantly, some may require one or more approvals to ensure alignment with organizational policies and governance.

This guide explains what end-users can expect when requesting a new workspace that includes an approval process.


How end-users request new workspaces

As an end-user, you can initiate a new workspace request through various self-service methods provided by Automate365:

  • From an External System: If your organization has integrated A365 with other systems like ServiceNow, JIRA, or custom applications using A365 Automations, you may request workspaces directly from those platforms.

Regardless of the method used to request a workspace, if the request includes approvals, the workspace will not be provisioned immediately. The process will pause, awaiting authorization from the designated approver(s).

Upon submitting a request that requires approval, end-users will see an on-screen message informing them their request has been submitted and is pending approval.


Tracking workspace request status

End-users can easily monitor the status of their workspace requests:

  1. From the Company Catalog page, click the "My Activity" icon (located in the top-right corner of the screen).

  2. In the "My Activity" panel or page, navigate to the "Requests" tab.

  3. Here, end-users will find a full list of all their workspace requests. Users can view the status of pending request(s) and its progress through the approval workflow.


Receiving approval notifications

Once the approval process is complete, end-users will receive an email notification informing them of the outcome:

  • If Approved: The email will confirm that the workspace has been approved. A separate email will inform that the workspace was provisioned successfully and will typically include a direct link to the new workspace.

  • If Rejected: The email will inform you that your request has been rejected. It may also provide reasons for the rejection or instructions on next steps.

By understanding this process, you can efficiently track your workspace requests and know when to expect your new resources to be ready.
