Automate365 empowers organizations to provide a controlled self-service experience for Microsoft 365 workspace creation. Automate365 offers a dedicated Company Catalog URL as a method to publish your pre-configured templates. This allows end-users to request new workspaces with ease, knowing that each new workspace is already structured with your desired content and protected by your essential governance guardrails.

This dedicated catalog provides a flexible way to offer self-service, ensuring consistency and compliance from the moment a new workspace is provisioned.


The end-user experience: accessing the catalog

Accessing your organization's template catalog is straightforward for end-users:

  • Users open a specific URL provided by administrators (which can be shared through various internal communication channels like your intranet, email, or team chats).

  • The catalog is protected by Microsoft 365 authentication. If users are already logged into their Microsoft 365 tenant, no additional login is required; they will gain immediate access to the catalog.

  • Once inside, users can browse the available templates (those they are targeted for), view details, and request a template-based workspace directly from this centralized catalog.

How to publish templates to my Company Catalog

Publishing a template to your Company Catalog is done within the Automate365 template creation or editing experience.

  1. Log in to the Automate365 App.

  2. Navigate to Templates > Created by me.

  3. Click the "Edit Draft" button for the template you wish to publish to the catalog.

  4. Jump to the final step: "Save and publish."

  5. Locate and enable the "My organization's catalog" toggle.


Audience targeting for published templates

Automate365 provides granular audience targeting for your Company Catalog templates to control visibility:

  • Below the toggle, find a textbox "Who can see this template?".

  • Start typing the name of a user or group, and Automate365 will search your Microsoft Entra ID (Azure AD) for matches. Click Enter.

Only the users or members of the groups entered here will see this template appear under the "From BindTuning" tab in the SharePoint site creation interface. Control template visibility based on roles, departments, or projects.


How to share your Company Catalog URL

Once templates are published to the Company Catalog, you'll need to share the unique catalog URL with your end-users:

  1. From the Automate365 App, navigate to Templates > Company Catalog.

  2. Click the "Share Catalog" button. A pop-up window will appear.

  3. Inside the pop-up, click the "Copy Catalog Link" button. This will copy the unique URL for your organization's catalog to your clipboard.

  4. You can then share this URL with your users via your intranet, email, communication platforms, or any other internal method.
