As an approver in Automate365 (A365), you play a crucial role in the workspace provisioning process. You are responsible for reviewing incoming workspace requests and making informed decisions to approve or reject them based on organizational policies. Approvers can be anyone in the organization, whether specifically designated for a particular template approval, the manager of the requestor, or another designated role.
This guide outlines how you will be notified of new requests and how to effectively review and act upon them.
Receiving approval notifications
When a new workspace request requiring your approval is initiated, approvers will receive timely notifications through two primary channels:
Email Notification: An email will be sent directly to your inbox, providing key details of the request and a direct call to action.
Microsoft Teams Notification: The BindTuning Notifications Center chat will appear in your Microsoft Teams, alerting you to the new request.
Via Email
The email notification provides a direct pathway to review and act on the request.
Via Microsoft Teams
The BindTuning Notifications Center chat will appear in the approvers' Microsoft Teams interface.
The Teams notification offers a quick way to review and act on requests directly from your communication hub.
Approvers can easily:
Review Request: by clicking directly on the "See all request details" link within the notification to see more details.
Approve/Reject Directly: Approvers are presented with options to Approve or Reject the request directly from the Teams interface, allowing a quick decision.
Review request and approve/reject
In both notification scenarios, approvers can review the request by clicking a button/link within the notification. This will take them directly to the dedicated Request Details Page in Automate365. Here they can:
Comment: Provide notes or additional information related to the request. This can be done regardless of your final decision and is particularly useful if there are other approvers in the flow, providing context for their review.
Approve: Authorize the workspace provisioning. If you add comments before approving, they will be recorded to justify your decision.
Reject: Deny the workspace provisioning. It is highly recommended to add a comment to explain your reason for rejection, providing clarity to the requestor and other stakeholders.
Managing all pending approval requests
From the Request Details Page (accessed via email or Teams), approvers have the option to navigate to a comprehensive view of all outstanding approvals:
After reviewing a specific request, simply close the Request Details Page.
This action will typically lead you to a centralized page displaying all your pending requests for approval. This is the same "Requests" tab found under "My Activity" within the Automate365 app, providing a consolidated view of all approval tasks awaiting your action.
