This release is about governance you can rely on.
It strengthens how Pulse365 handles workspace lifecycle decisions, ensuring that sensitive actions follow clear rules defined and controlled by you. For administrators, this translates into greater confidence and predictability, as actions that affect workspace status (such as archiving or extending despite inactivity) require explicit intent and follow configurable policies, reducing ambiguity in day-to-day governance.
We have also extended the actions available within Pulse365. Imagine archiving an inactive workspace that still holds critical content or needing to quickly restrict user access to a workspace without touching the user's identity. Now, those corrective actions are available within actionable reports that guide you to make fast, safe decisions.
And finally, on the platform and infrastructure side, updates were applied to the enterprise application required to run Pulse365 which now supports role-based permissions to guarantee that only desired users can run new scans.

Enterprise applications updates
Updates include a new role-based permissions validation, that requires the Pulse365 Operator role to be attributed in Entra ID to enable workspace admins or members to run a scan. This update also includes an easier to follow sequence to accept the Enterprise Application and attribute the role, with clearer copy and actionable insights.
Important: Because this change affects the underlying enterprise application, the next time customers run a scan or trigger an action, assistance from a Global Admin will be required.
Workspace archive
A new Archive action allows administrators to archive an aggregated workspace in-place, including its connected Microsoft Team, SharePoint site, Microsoft 365 Group, Planner plan, Power BI assets, and Engage community.
Archiving applies the currently active lifecycle policy and moves the workspace to a read-only state, removes it from active visibility, and preserves content for reference. Before execution, the archive flow clearly outlines what will change, ensuring actions are intentional, predictable, and auditable.
While this version of archive still won't allow storage savings, an integration with Microsoft 365 Archive is planned.
Lifecycle management policy
The default lifecycle management policy is now available under a new "Policies" section. The default policy can be edited through a guided wizard that helps set inactivity thresholds and configure both "Archive" and "Extend" actions.
The default policy flags inactive workspaces after 30 days of inactivity, recommends extension thresholds of 30 days and provides extensive cross-platform recommendations for archival, including changing the workspace name and redefining permissions.
Remove user from workspace
Workspace access can now be removed from Pulse365 reports without affecting the user's identity and account status in Microsoft Entra. When a user is removed, access to the selected workspace is revoked immediately, while the account remains active elsewhere in the tenant.
This supports precise access cleanup, particularly for guests or role changes, without introducing side effects across other workspaces or identity settings.
Block user sign in
User sign in can now be blocked from Pulse365 reports using the same behavior applied in Microsoft Entra. The account remains intact, but authentication is prevented until access is restored.
This provides a fast and controlled response for security, compliance, or HR-driven scenarios, without deleting accounts or modifying workspace configuration.
