Assign the Pulse365 Operator role

Step-by-step guide to assigning the Pulse365 Operator role in Microsoft Entra ID.

The Pulse365 Operator role controls who in your organization can run governance scans and access Pulse365 dashboard. It is assigned in Microsoft Entra, but the app and this article will guide you through the process.

You'll reach this step in one of two ways:

  • Running your first scan — Pulse365 will prompt you to assign or be assigned the role after permissions are granted.

  • From workspace settings — by clicking your avatar, select the gear icon to open Settings, then click Permissions under Workspace settings.

Who can do this: You need to be a Global Administrator or Privileged Role Administrator to assign roles to the Pulse365 enterprise application.


Before start

Before assigning or being assigned the required role to use the tool, is necessary that your tenant is connected to our app and the enterprise application consent was approved.

Connect your tenant

Sign in with the Microsoft account you want to use to manage the scan. This should be the account that will run the tenant assessment and that will be assigned later as a Pulse365 Operator.

Consent enterprise application

Pulse365 needs a Global Administrator or Privileged Role Administrator to approve access for the Pulse365 enterprise application in your tenant.

  • If you are not a global admin, copy the consent link and send it to an admin so they can approve access without being present.

  • If you are a global admin, click Review permissions to approve directly.

Once approved, you'll see the confirmation below and automatically move to the next step.

Grant Pulse365 Operator

Once the connection and the consent are done, the next step is to assign or be assigned Pulse365 Operator role within the Pulse365 enterprise application.

  • If you are a global admin, click on Open Microsoft Entra and move to the next step.

  • If you are not a global admin, share the link with one and either wait for the role to be assigned or click "go back to the application" so you can come back later.

Open the Portal

On the request access screen, click the Open Microsoft Entra button. This will open the Microsoft Entra portal in a new tab.

Note: Keep the original tab open, as you will need to return to it to finish the process.

Find the application

  • In the Microsoft Entra admin center, select Enterprise applications from the left-hand menu and then "All Applications".

  • In the search bar, type Pulse365 and select the application from the list.

Users and groups assignments

  • From the application’s sidebar menu, select Users and groups located under Manage.

  • Click the + Add user/group button at the top of the page.

Under "Users and groups", click the None Selected link.

  • In the search bar on the right, type the user’s email.

  • Check the box next to the user’s name, repeat for all users you want to add, and then click select to move to the next step.

  • Under Select a role, ensure the Pulse365 Operator role is selected > Click the Assign button at the bottom left of the screen.

Confirm and finalize

Return to the original browser tab (where you started), and if it hasn't updated automatically, you can click the green button: "I've assigned the role" to refresh the screen.

Important: It may take a few seconds for the permissions to propagate through the system. If it doesn't validate immediately, please wait a moment and try again.


In Pulse365, you can check the permissions status at any time from the Permission area. You should see:

  • Pulse365 Operator ✅ — required, must be green to run scans.

  • SharePoint administrator ✅ — enables broader SharePoint data collection.

  • Yammer administrator and Power Platform administrator — optional, needed only if you want to collect Viva Engage or Power BI data.

The optional roles (Yammer and Power Platform administrator) are not required to start. You can add them later if you want to extend the scope of your scans.
