Creating a new template from an existing workspace in Automate365 is a powerful way to duplicate a proven Microsoft 365 environment. This means you can quickly capture an existing workspace's structure, content, rules, and settings, turning it into a reusable template for all your future workspaces. This feature saves you time and ensures consistency across your organization.

In this context, a blueprint workspace is an existing Microsoft 365 workspace (like a site, team, plan, dashboard,...) that serves as the master example.

Its structure, content, design, and configurations will be copied to create new, standardized workspaces.

Why copy from existing workspaces

Leveraging an existing workspace as a blueprint delivers significant advantages for your provisioning process:

  • Captures best practices: Formalize and embed your organization's most effective workspace structures, content, and configurations directly into reusable templates.

  • Evolves with changing requirements: Allows your blueprint workspace to be a living asset that you can update and enhance over time, ensuring new templates always reflect your current business needs.

  • Enables internal process ownership: Empowers specific business units (e.g., for marketing campaigns, project management, or procurement processes) to own and maintain their tailored blueprints, ensuring relevance and agility.

Example scenario:

Imagine your company has a highly successful SharePoint Team site for a key project. This site is perfectly configured with specific document libraries, pre-filled lists, custom permissions, and branding—and you want to replicate it exactly for every new, similar project.

This is where Automate365's templating shines. By copying this existing SharePoint Team site, Automate365 creates a precise template that acts as your blueprint. When you provision a new project, this template ensures an identical, fully configured site is created, making setup efficient and guaranteeing consistency across all your projects.
