Set Membership and Ownership in a template

In Automate365, you can pre-define default owners and members directly within your templates. This template-specific setting saves significant time during provisioning and ensures that key individuals are automatically included, and proper oversight is established for every new workspace.


Membership and ownership settings are configured during the creation/editing of an Automate365 template. To edit these settings:

  1. Enter the template editing wizard (e.g., when creating a new template or modifying an existing one).

  2. In the left-hand navigation of the wizard, click on Classification, then select Membership.


Configure default Ownership

This section allows you to define the initial owners for any workspace provisioned from this template. Owners are critical for managing the workspace and its associated Microsoft 365 Group.

  • Minimum number of owners:

    • Set a numerical value for the minimum number of owners required for workspaces created from this template.

  • Set default owners:

    • Use this field to specify individuals or groups that will be automatically assigned as owners to all workspaces created using this template.

    • How to add: Start typing in the textbox, and Automate365 will search your Microsoft Entra ID (Azure AD) for matching users, guests, or security groups. Select the desired entities from the search results.

If you are creating a template from an existing workspace, the owners of that original workspace will be listed here by default. You can remove any of these pre-populated owners before saving your template if they are not required for future workspaces.


Configure default Membership

Beyond owners, you can also define a core set of members who will be automatically added to any workspace provisioned from this template.

  • Minimum number of members:

    • Set a numerical value for the minimum number of members (excluding owners) required for workspaces created from this template.

  • Set default members:

    • Use this field to specify individuals or groups that will be automatically assigned as members to all workspaces created using this template.

    • How to add: Similar to setting default owners, start typing in the textbox, and Automate365 will search your Microsoft Entra ID (Azure AD) for matching users, guests, or security groups. Select the desired entities from the search results.

If you are creating a template from an existing workspace, the members of that original workspace will be listed here by default. You can remove any of these pre-populated members before saving your template if they are not required for future workspaces.
